Top 3 reasons to automate your business processes

In today's competitive business landscape, organisations are leveraging on fresh, innovative ways to restructure and streamline their working processes. One way to start is by automating their business processes to improve overall efficiency and productivity.

Going the automated route is increasingly becoming the norm rather than a novel idea for most businesses. In fact, most business owners are progressively of a mind that automating their business processes has become a necessity if they want to ensure the health of their organisations.

There is a saying that when times are tough, that is the time you take to turn yourself around - to innovate, to try something new. The current economic climate, whilst posing many challenges, is also an opportunity for organisations to restructure and streamline their processes as well as work towards higher efficiency and productivity. Going down the route of automating business processes is an effective and optimal tactic.

1.       Saving time and money

Time is money - a common phrase that most people are familiar with. When businesses are able to do more with less, fewer resources are required to carry out that activity. Such savings for the organisation may seem to be a small amount initially but over time, the accumulated sum can be alarming. 

Take a global company that has their IT applications run out of their Singapore headquarters, for example. With the amount of responsibility placed on the shoulders of the IT department, and with many critical workflows still paper-based, missing information and approval bottlenecks can be common hindrances.

It is therefore necessary for the IT department to have a vigorous and flexible workflow engine that could be integrated to work cooperatively with their current platforms to address these issues. By integrating the latest business process management software with the existing IT infrastructure, the time to create workflows and e-forms can be reduced exponentially. This can potentially translate to substantial annual savings in operational expenses.

2.       Simplicity is the key

For organisations that still run mostly on paper-based processes, the challenge is to minimise unnecessary stoppages. The lack of uniformity in paper-based forms makes it virtually impossible for anyone, be it management or employee, to search for, much less retrieve records. Situations can get from bad to worse when processes involved multiple business units. General dissatisfaction and frustration will quickly become a staple of the day.   

Organisations require a business process management platform that is visual-based, flexible and eliminates paper-based processes. By converting all paper-based corporate forms into smartforms, internal processes across business units will be simplified. In fact, automating internal processes will not only see employees being given relevant access to IT systems and applications which creates a seamless experience for them at work but it also empowers their decision making.
